Committee Positions

We need your help and are looking for suitable candidates to take on important roles in the club!

Most of these roles can be done by multiple people; it’s a matter of getting together and getting things done. Some roles require effort at the beginning of the season and at the end with little effort in between.

Executive Committee

Executive Committee

The Executive Committee is responsible for the club as a whole overseeing the individual committee member’s respective areas. The executive committee passes motions and votes on club business ensuring club direction is continuity is adhered to. The Executive committee is responsible as a whole for the club financial situation and club progress at large, representing its members, constituents and partners.

It is expected from all executive committee members to be involved in all club activities.

 

President

  • Oversee the operation of the club.
  • Represent Ellenbrook United and its members
  • Chair all committee meetings and ensure the integrity of the club structure and direction of the club as planned by the committee and members.
  • Ensure the running of the club is in accordance to the constitution and all decisions made are in the best interest of Ellenbrook United F.C. and its members.
  • With the treasurer ensure the club is operating financially and club expenses are benefiting club members.
  • Votes on motions and proposals submitted to executive committee

Vice President

  • In conjunction with the President to oversee the operation of the club and assist in the roles and responsibility of Club President
  • In the absence of club president take up the role and responsibility of President
  • Votes on motions and proposals submitted to executive committee

Secretary

  • Responsible for the schedule and organising of committee and club meetings
  • Responsible for the accurate minuting and distribution of Committee Meeting Minutes
  • Responsible for the inbound and outbound club communication
  • Is the primary contact point for communications with other clubs and affiliates
  • Votes on motions and proposals submitted to executive committee

Treasurer

  • Responsible or day to day financial transactions of the club incoming and outgoing expenses
  • Responsible for club accounting
  • Reporting back to committee and club members the financial position of the club
  • General financial control of club finance and assets
  • Ensure club expenses are in accordance with the constitution
  • Ensuring membership dues are paid
  • Votes on motions and proposals submitted to executive committee

Registrar

  • Responsible for the procedure and management of club memberships
  • Responsible for Club Member Registrations, online system and other registrations methods adopted by the club
  • Ensure playing members are listed in the correct team list
  • Ensure required member Photo ID and membership cards are completed
  • Communicate with coaches and coordinators with updates of team list and ID cards ensuring correct information and player details available to teams prior to game day
  • Assist members with registration queries
  • Responsible for the acceptance of paid members
  • Votes on motions and proposals submitted to executive committee

Director of Coaching

  • Is the direct report of and managers the club Technical Directors TD’s)
  • Responsible for the clubs football methodology
  • In conjunction with the TD’s Responsible for the allocation and appointing coaching staff to squads
  • Responsible for the sign off of teams into the required leagues competition
  • Responsible for coaching development (coaching courses, material and assistance)
  • Responsible in ensuring scheduled training timetables and training areas
  • Responsible for the coordination of team trials and grading’s
  • The Director of coaching is representative of the coaches and assistants
  • The Director of coaching ensures the coaching values and procedures are followed by coaches and squads
  • The Director of coaching has the ability to assess individual players to make assessment of skill level and ability to finalise a place and team position.
  • Ensures teams and coaches are playing and training as per the clubs expectation
  • Responsible for the sign off of 1st Team, 2nd team etc.
  • Responsible for sign off on entry of teams and club into competitions such as Cups and invitational tournaments
  • Has the final authority on coaching decisions
  • Votes on motions and proposals submitted to executive committee

Director of Woman’s Football Development

  • Responsible for the growth of junior, youth and senior woman’s squads for the club
  • Responsible for the promotion and acquiring of female players to fulfil squads and growth
  • Ensure a forward path for junior female players into youth and senior competitive club football
  • Responsible for the squad allocation and female teams in the club
  • In conjunction with the Director of coaching assign coaching staff for the female squads
  • Votes on motions and proposals submitted to executive committee

Executive Co-ordinator

  • Responsible for all squad co-ordinators ensuring they have ready access to club information relevant to the tasks and responsibilities of a team coordinator
  • Responsible for the distribution of referee payments to the coordinators prior to game day
  • Responsible for the content and distribution of coordinators information booklet
  • Ensure coordinators have match day cards and ensure coordinators are informed on how to complete the form and submit the forms back to the club
  • Ensure the team coordinators are performing as expected by the club
  • The Executive Coordinator is the conduit between coordinators and committee
  • The Executive Coordinator is the first port of call for team coordinators
  • Votes on motions and proposals submitted to executive committee

General Executive Committee Member(s)

  • A position on the Executive Committee with an undefined role
  • Responsible to assist the club and named executive roles in the day to day function of the club
  • Be involved in all Club initiatives
  • Be in a position with a view to take a named office in the following year
  • Represent the club and the executive committee
  • Votes on motions and proposals submitted to executive committee

Management Committee / Committee Positions

Management and standard committee positions are responsible for their elected role/duty in the club. These duties do not need to be done by one person, it is encouraged that more than one person takes on the required role

Management Committee / Committee persons report back to the president, or direct executive committee member depending on the role and instruction.

First Aid Coordinator

This role can be taken up by more than one person

  • Responsible for the allocation of first aid kits to teams
  • Responsible for the first aid equipment in the club room
  • Responsible for the adequate replenishment of first aid equipment and consumables for team first aid equipment
  • Responsible for the coordination of first aid education sessions for coaches and coordinators
  • Assist and have input on club accident prevention, player health and safety

Kit (Uniform) Coordinator

YOU WILL HAVE ASSISTANCE FROM THE CURRENT KIT COORDINATOR

THIS ROLE IS REQURIED AT THE BEGINNING AND END OF SEASON WITH LITTLE EFFORT BETWEEN

This role can be taken up by more than one person

  • Responsible for the issuing of team/player uniforms (shirts, shorts, socks etc) at the beginning of the season.
  • Coordinate with team representative for the collection of team uniform at the end of the season
  • Replace uniforms as and when required throughout the season (eg. Lost or damaged shirts etc)

Equipment Coordinator

THIS ROLE IS REQURIED AT THE BEGINNING AND END OF SEASON WITH LITTLE EFFORT BETWEEN

This role can be taken up by more than one person

  • Responsible for the issuing of team equipment (eg. Balls, Markers, Goals etc) beginning of the season.
  • Coordinate with team representative for the collection of equipment at the end of the season
  • Replace equipment as and when required throughout the season (eg. Lost or damaged equipment etc)
  • Ensure equipment room adequately stocked, tidy and organised with training and game day equipment
  • Ensure equipment is looked after and administered appropriately by the members. The equipment room and storage is the responsibility of the Equipment Manager

Merchandise Coordinator

This role can be taken up by more than one person

  • Responsible for club merchandise inventory, sales and supply
  • Responsible for the online club store and store at club rooms
  • Merchandise is a mechanism for generating club income and funds therefore Coordinator is responsible for the tracking of merchandise profit and loss in conjunction with the treasurer
  • Merchandise Coordinator reports back to the executive committee on club store progress

6 & 7 Miniroos Co-ordinator (Formally SSF Co-ordinator)

YOU WILL HAVE ASSISTANCE FROM THE CURRENT SSF COORDINATOR

This role can be taken up by more than one person

  • SSF Coordinator will be Responsible for the U6 and U7 Saturday game day schedule.
  • Creating game day match roster for each Saturday
  • Taking the match scores and reports and adjusts competition standings for that week
  • Communicate information to the U6 and U7 squads relating to game day
  • Assist the director of coaching and committee formalising the teams and schedules for the U6 and U7’s

Web Master

  • Responsible for the day to day maintenance and information on the club website
  • Ensure club newsletters and information in available for the Website
  • Assist with the online store access and any other online/web requirements needed by the club
  • Maintain club email adresses

Constitutions Manager

  • Responsible for the update and accuracy of the Clubs constitution
  • Ensures the clubs activities are in accordance with the club constitution
  • Consult the executive committee on constitution matters

Grounds Person

This role can be taken up by more than one person

  • In conjunction with the equipment manager the grounds person is responsible for the grounds condition and amenities of the clubroom and playing area.
  • Ensure goals, nets, flags are available and in working order
  • Game schedules are coordinated
  • Available and coordinate major events such as finals and night series games etc.

Media Manager (Formerly PR Manager)

This role can be taken up by more than one person

  • Responsible for all media communications and press release to members and community through Newsletters, advertising, e-communications/social media, web site and news articles.
  • Responsible for keeping the club in media spot light promoting EUFC.
  • Responsible for coordinating Newsletters and relevant information from the club to promote and report
  • Work with the executive committee and squad representatives

Fundraising Coordinator

This role can be taken up by more than one person

  • Responsible for the fundraising initiatives and activities throughout the season to drive income for the club
  • Work with the executive committee to plan fundraising initiatives
  • Fundraising is a mechanism for generating club income and funds therefore the fundraising coordinator is responsible for the tracking profit and loss of fundraising schemes in conjunction with the treasurer

Events coordinator

This role can be taken up by more than one person

The club will have several events it wishes to run which requires an event coordinator to preside and manage the event.

  • Responsible for organising the event
  • Responsible for the event budget
  • Responsible for the event form concept to completion
  • Report and work with the executive committee
  • Events a mechanism for generating club income and funds therefore the events coordinator is responsible for the tracking profit and loss of fundraising schemes in conjunction with the treasurer
